Code of Conduct for CAS Events

Code of Conduct for CAS Events

The CAS is an international organization, committed to meeting the demands of a global economy. We are a listening organization that welcomes diverse perspectives. We value the participation of each member of the community and desire to offer professional education in a fun and safe learning environment. The CAS is dedicated in providing a positive conference experience for everyone and will not tolerate harassment, discrimination or any other improper behavior of conference participants in any form.

Scope of the Code:

All event participants, CAS staff members, guests, sponsors, speakers, partners, exhibitors, volunteers, and vendors/exhibitors must comply with this Code of Conduct for CAS Events. We ask that you join us in agreeing to engage, collaborate, and connect with other participants and event attendees in healthy ways.  Specifically, we ask that you:

  • Share from your own experience,
  • Assume the best intentions of others,
  • Disagree with ideas, not people,
  • Be open to other people’s perspectives, and
  • Treat everyone with respect.

Registration and attendance at CAS meetings, seminars, webinars and other activities constitutes an agreement by the registrant to: demonstrate respect and consideration for all people; communicate openly and thoughtfully with others; be respectful in discussing and debating ideas; be collaborative; be mindful of your surroundings; comply with venue regulations; report conduct concerns so that they can be addressed responsibly in a timely fashion. If any leader or facilitator of the event directs you to stop a behavior, you must comply immediately.

Consequence of Violation of the Code:

The safety of our community is our top priority. Event participants violating these rules may be sanctioned or expelled from the conference without a refund at the discretion of the event organizers and could result in suspension from attending future meetings and/or referral to an appropriate disciplinary body. If necessary, CAS will contact proper authorities, including but not limited to event security and/or law enforcement.

Reporting

While we have every faith that our dynamic community will embrace these sentiments and encourage others to do the same, we do have a plan in place if anyone should fall short of expectations. If you are directly affected or witness behavior that could constitute a code of conduct violation, please contact a CAS staff member at the event who will provide you with an incident report form for you to complete. In addition, you can email meetings@casact.org to request an electronic copy of the form.

Under the direction of the CEO, CAS will conduct a prompt and thorough investigation into your complaint, and you will be notified of the CAS’s intended action. Please note that all reports will be kept confidential.

The CAS seeks to do its utmost to provide equal access to its participants with disabilities in accordance with State and Federal Law. Due to the CAS’s limited resources, CAS staff may be required to discuss your reasonable accommodation with you in order to attempt to meet your needs. The conference offers a variety of services to help you enjoy your CAS experience, including:

  • Accessibility requests during the registration process.
  • Sign Language interpreters upon request.
  • Please provide notice as soon as possible, but no later than 30 days prior to the start of the event.

Selection of CAS Conference Locations

How does the CAS select in-person conference locations?

The decision on where to host CAS conferences considers a variety of factors. We strive to hold our four largest events (RPM, Spring, CLRS and Annual) in the Southeast, Northeast, Midwest, and West regions of the United States. Our goal is to enable those members who may only attend one event in a calendar year to have one of our four major events held in their region. For members who annually attend the same large CAS event, that event will be located in their region every four years. We also aim to host one of our conferences in Canada every four to six years.

We remain focused on locations that are both convenient for travel, for example, cities that can be reached via a direct flight from the majority of North America, and that are appealing to potential attendees.

What do you do to ensure members feel welcomed, included, and safe during in-person conferences?

The CAS represents members and candidates of all races, ethnicities, religions, genders, sexual orientations, and socioeconomic classes, and creating a safe, welcoming, and inclusive environment for them is our foremost concern when planning in-person events. The CAS requires anyone in our conference spaces to be a registered attendee of the event, and we post signage and have staff monitor badges to keep non-registered people from accessing our area. We also ask attendees to abide by the Code of Conduct for CAS Events.

The CAS prioritizes conference vendors that are committed to providing a safe and inclusive environment for all of our attendees.

What options exist for those who are not able or do not feel safe attending an in-person conference in a certain location?

CAS members have the ability to select from several different conferences and conference locations each year. All of our large events also include a livestream virtual option so attendees can participate in high-quality and interactive continuing education opportunities and networking from anywhere in the world.

Check in at The Westin Bonaventure Hotel and Suites is 3:00 p.m. and check out is by 12:00 p.m.

While reservations must be made prior to October 13, 2023, to receive the $209 rate, there is no guarantee that rooms will be available should you wait until this date. CAS strongly suggests that you make your room reservations early to secure accommodations before the room block fills.

Important Information Regarding Official Annual Meeting Hotel:

The Casualty Actuarial Society is able to conduct high-quality meetings at desirable sites for a reasonable registration fee because a block of hotel rooms is reserved for meeting attendees. In exchange for filling the required number of sleeping rooms, the CAS is permitted to use the hotel’s meeting space at no cost, thus keeping registration fees low. In addition, meeting attendees receive a reduced rate for their sleeping rooms. We kindly request that all meeting attendees take advantage of the group rate and stay at the official Annual Meeting property, The Westin Bonaventure Hotel & Suites.

A limited number of Tuesday Night Dinner tickets are available for sale onsite. If you want additional tickets, please email meetings@casact.org as soon as possible because, once we reach our limit, we will be unable to sell more. At the CAS Registration Desk onsite in Los Angeles, individuals will receive USH Credentials. These are non-replaceable AND required by the theme park for entry.

Universal Studios Hollywood (See below for further details) is located 8 miles from The Westin Bonaventure Hotel.

Please note that Los Angeles traffic is unpredictable and travel times may vary greatly during rush hour.

Reminder: To be admitted to the event at Universal Studios Hollywood, you must wear the event credentials containing the park ticket provided to you at the CAS Registration Desk.

  • The CAS event credential allows for access into Universal Studios Hollywood beginning at 2:00 p.m. If you are heading to the park early on your own, you must have the event credential to enter.
  • Buses will begin loading at 5:30 p.m. from the Figueroa Street entrance of the hotel on the 2nd Floor. Wear your event credential to board the bus.
  • Buses will run in a continuous loop between The Westin Bonaventure and Universal Studios Hollywood. Leaving the event, ask a Universal employee to direct you to the buses back to the hotel.
  • Final buses depart Universal Studios Hollywood at 11:00 p.m. and return to The Westin Bonaventure Hotel. Please dress in casual attire with comfortable footwear.

Universal Studios Hollywood

Enjoy an exclusive after-hours experience with the CAS Annual Meeting attendees at   Universal Studios Hollywood! 

The CAS has reserved two complete park lands in the Upper Lot of Universal Studios Hollywood, with access post park close to unlimited dining at select themed restaurants, which includes hosted beer and wine.  In addition, Annual Meeting guests will have private access to everything inside the magical and animated lands, including the three rides within the two lands, retail outlets, a DJ to entertain, characters to meet & greet, and unlimited carnival games on FREE play (excludes prize-oriented games).

CAS Annual Meeting attendees have two choices for entry to the park.   

  • CAS guests arriving on their own may enter Universal Studios Hollywood beginning at 2:00 p.m. and enjoy the full park prior to our private event at 7:00 p.m. when the park closes.  While the park is available to CAS guests as early as 2:00 p.m., there are a variety of Tuesday afternoon events going on at the hotel. 

  • The other option is to wait until buses will depart The Westin Bonaventure Hotel & Suites, Los Angeles starting at 5:30 p.m. Buses will then run in a continuous loop throughout the evening.

Please dress in casual attire with comfortable footwear. 

Our guests may remain in the two sections of the park until the event concludes at 11:00 p.m.
